AirUnit.io (โ€œAirUnit,โ€ โ€œwe,โ€ โ€œus,โ€ or โ€œourโ€) is committed to protecting the privacy and security of the information we collect from our customers. This Privacy Policy describes how we collect, use, disclose, and protect information when you use the AirUnit.io aviation operations management platform (the โ€œServiceโ€).

This Privacy Policy applies to law enforcement agencies, public safety organizations, and their personnel who use our Service. By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

2. Information We Collect

2.1 Account Information

When you create an account or are invited to join an agency's account, we collect:

  • Name and email address
  • Role and position within your organization
  • Authentication credentials (managed by our authentication provider, Clerk)
  • Profile preferences and settings

2.2 Operational Data

The Service is designed to help law enforcement aviation units manage their operations. Depending on how your agency uses the Service, we may process:

  • Flight records (dates, times, durations, crew members, mission types)
  • Aircraft information (tail numbers, types, configurations)
  • Maintenance records and schedules
  • Pilot compliance and training records
  • Fuel management data
  • Equipment tracking information
  • Mission tracking data as configured by your agency

2.3 Technical Information

We automatically collect certain technical information when you use the Service:

  • IP address and general location (country/region)
  • Browser type and version
  • Device type and operating system
  • Usage patterns and feature interactions
  • Error logs and performance data

2.4 Information We Do Not Collect

AirUnit does not collect or store:

  • Criminal justice information (CJI) subject to CJIS Security Policy
  • Case file information or investigative data
  • Personal information about subjects of law enforcement activity
  • Social Security numbers or financial account information

The Service is designed for aviation operations management, not criminal justice information systems.

3. How We Use Information

We use the information we collect for the following purposes:

  • Provide and Maintain the Service: To operate the platform, process data, and deliver the features and functionality you expect.
  • Customer Support: To respond to inquiries, troubleshoot issues, and provide technical assistance.
  • Security and Fraud Prevention: To protect our systems and users from unauthorized access, security threats, and fraudulent activity.
  • Service Improvement: To analyze usage patterns, identify areas for improvement, and develop new features.
  • Communications: To send important notices about the Service, including security alerts, maintenance notifications, and policy updates.
  • Legal Compliance: To comply with applicable laws, regulations, and legal processes.

4. Data Storage and Security

4.1 Data Location

All data is stored on servers located in the United States. We use the following infrastructure providers:

  • Neon (PostgreSQL database hosting) โ€” US-East region
  • Vercel (application hosting) โ€” US region
  • Amazon Web Services (backup storage) โ€” US-East region

We do not transfer data outside the United States.

4.2 Security Measures

We implement comprehensive security measures to protect your data:

  • Encryption: All data is encrypted at rest and in transit using industry-standard protocols (TLS 1.2+, AES-256).
  • Database Security: Row-Level Security (RLS) policies ensure complete tenant isolation at the database level.
  • Access Controls: Role-based access control (RBAC) limits data access based on user roles within your organization.
  • Authentication: Multi-factor authentication (MFA) is available and recommended for all users.
  • Backups: Automated daily backups with point-in-time recovery capability.
  • Infrastructure: All infrastructure providers (Neon, Vercel, Clerk) maintain SOC 2 Type II certification.

4.3 Data Retention

We retain your data for as long as your subscription is active. Upon termination of service, we retain data for a 90-day grace period to allow for data export, after which data is permanently deleted within 30 days. Backup data may be retained for an additional period as necessary for disaster recovery purposes.

5. Third-Party Service Providers

We engage trusted third-party service providers to help us operate the Service. These providers process data only as necessary to provide their services and are contractually obligated to protect your information:

6. When We Share Information

We do not sell, rent, or trade your information. We may share information only in the following circumstances:

  • With Your Agency: Information is shared with authorized users within your organization as configured by your agency administrators.
  • Service Providers: With third-party providers as described in Section 5, solely to provide the Service.
  • Legal Requirements: When required by law, subpoena, court order, or other legal process.
  • Safety and Security: To protect the rights, property, or safety of AirUnit, our users, or others.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, subject to confidentiality obligations.

In the event of a legal request for data, we will notify the affected agency unless prohibited by law from doing so.

7. Your Rights and Choices

7.1 Access and Export

Agency administrators can access, review, and export their organization's data at any time through the Service's data export features. Individual users can access and update their account information through their profile settings.

7.2 Correction

You may correct inaccurate personal information through the Service or by contacting us. Agency administrators can update organizational data.

7.3 Deletion

Upon termination of service, all agency data is deleted in accordance with our data retention policy. Individual users who leave an agency may request removal of their personal information.

7.4 Communication Preferences

You may opt out of non-essential communications, but we may still send important notices about security, service updates, and legal matters.

8. Cookies and Tracking

We use cookies and similar technologies for:

  • Authentication and session management
  • Security and fraud prevention
  • Performance monitoring and optimization

These are essential for the operation of the Service. We do not use advertising or marketing cookies.

9. Children's Privacy

The Service is designed for professional use by law enforcement aviation personnel. We do not knowingly collect personal information from children under 18. If we learn that we have collected information from a child, we will promptly delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and, for significant changes, by email to agency administrators. Your continued use of the Service after changes become effective constitutes acceptance of the updated policy.
